Privacy Policy

Last updated: 20 October 2026. This policy explains how Speak to a Pilot intends to process personal information through this website and its enquiry-led services. Pre-launch notice: certain operational details below must be confirmed before this website goes live.

1. Who is responsible for your information?

Speak to a Pilot is a trading name of QVT Ltd. QVT Ltd is the data controller for personal information collected through this service. Company registration number: 14163647. Registered office: Suite 3, Second Floor, 760 Eastern Avenue, Newbury Park, Ilford, England, IG2 7HU.

For privacy enquiries, contact hello@speaktoapilot.co.uk. Registered office: Suite 3, Second Floor, 760 Eastern Avenue, Newbury Park, Ilford, England, IG2 7HU.

2. What information do we collect?

When you send an enquiry, we collect your name, email address, the service you are interested in, the questions or information you include in your message, and any preferred appointment times. You may optionally provide a telephone number. We also record your acknowledgement of this Privacy Policy where the form requires it.

If you proceed with a consultation or CV-writing service, we may process relevant correspondence, appointment details, your CV and career information you choose to provide, and basic payment or transaction records. Payments are not currently collected through the website enquiry form.

Our hosting and security services may process limited technical data, such as IP addresses, browser information and server logs, for website operation and security, once hosting is configured.

3. Please avoid sensitive information in your initial enquiry

Please do not submit medical records, diagnoses, financial account details, identity documents or other sensitive information in the enquiry form. If information about a health concern or another sensitive matter becomes necessary to discuss, we will explain the appropriate way to share it and consider the additional protections and lawful conditions required.

4. Why we use information and our legal bases

We use enquiry information to respond to your questions, discuss suitable services and availability, and send an acknowledgement of receipt. This is generally necessary to take steps at your request before entering into a contract (UK GDPR Article 6(1)(b)).

If you become a customer, we use information to arrange and deliver the agreed service and correspond about it (Article 6(1)(b)). We may retain transaction information where necessary to meet tax, accounting or other legal obligations (Article 6(1)(c)). We may use proportionate technical logs and security measures to protect the website and prevent abuse, relying on our legitimate interests where appropriate (Article 6(1)(f)).

We will not use your enquiry details to send marketing emails unless we have a separate lawful basis and meet applicable electronic marketing rules. Acknowledgement emails relate only to the enquiry you submitted.

5. Enquiry emails and automatic confirmations

When the enquiry system is activated, the information you submit will be sent to hello@speaktoapilot.co.uk and an automatic acknowledgement will be sent to the email address you provide. Sending an enquiry does not confirm an appointment or take payment. Email systems and providers may process and temporarily store message contents to deliver them.

6. Confidentiality and sharing

We treat enquiries and one-to-one discussions as private. We do not sell personal information. We may share only the information needed with service providers that help operate the website, deliver email, host data or process payments if a payment service is introduced. We may also disclose information when required by law, to protect legal rights or in other circumstances permitted by law. Confidentiality cannot be absolute.

Before launch: the final hosting, email-delivery and any payment providers must be identified and checked, including appropriate data processing terms.

7. International transfers

We are based in the UK and may receive enquiries from customers worldwide. Some technology providers may process data outside the UK. Where restricted international transfers occur, we will use an applicable UK adequacy arrangement or appropriate safeguards as required by UK data protection law. [CONFIRM PROVIDERS AND TRANSFER ARRANGEMENTS BEFORE LAUNCH].

8. How long we keep information

We keep personal information only for as long as necessary for the purposes described above, taking account of correspondence, customer service, disputes, legal obligations and security needs. [CONFIRM AND INSERT SPECIFIC RETENTION PERIODS FOR UNCONVERTED ENQUIRIES, CUSTOMER RECORDS, CV MATERIALS AND SERVER LOGS BEFORE LAUNCH]. You may ask us to delete information where the law permits.

9. Security

We aim to protect information using proportionate organisational and technical measures, including restricted access to business email, secure hosting, HTTPS and appropriate safeguards for the enquiry system when activated. No online transmission or storage method can be guaranteed completely secure.

10. Your UK data protection rights

Depending on the circumstances, you may have the right to access your personal data, correct inaccuracies, request deletion, restrict or object to processing, and receive certain information in a portable format. You may also withdraw consent where consent is the legal basis for a particular use. These rights are subject to legal conditions and exceptions.

To exercise a right, email hello@speaktoapilot.co.uk. We may need to verify your identity before responding.

11. Complaints

Please contact us first if you have concerns about how your information is handled. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint/.

12. Cookies and external links

For information about website cookies and similar technologies, see our Cookie Policy. Our website may link to external sites with their own privacy practices, which we do not control.

13. Updates to this policy

We may update this policy if our services, providers or legal requirements change. The latest version will be published here with an updated date.

Pre-launch checks: Complete the controller identity and contact details, retention periods, service provider and international-transfer information, and review this policy alongside the final Cookie Policy and live enquiry/email setup. This draft should be reviewed for UK legal compliance before publication.
